It sounds to me like you want more of an e-mail group than a forum. If that's so, Yahoo Groups is very functional. And, each person can set up a profile on Yahoo, if you want to use those. I've started several Yahoo groups for different functions over the last few years, and it's still my first choice when I want to set up non-public communications

Another way to go is to set up a Paypal account. People don't have to have a paypal account in order to send you money with their credit card to your paypal account.

Excel will import access databases into a spreadsheet. You'll have the data, but not the reports and queries. Personally, I'd get a license for Access and use it directly. But that's just me.

You should be treating your electronic documents (including e-mail) as you do your paper documents.
