The majority of camera phones sold in many countries have the ability to record video as well as take pictures. The quality is generally a bit low but improving. The format is usually 3gp or 3g2 - formats can be changed via ffmpeg. Upload these files to a webserver, bluetooth them to other phones or computers or MMS/email them.

If they are travelling to fairly developed countries with good internet bandwidth then simply get people to use Skype - send them away with a headset and top up their skypeout account just in case. They will almost always be able to find an Internet connection to use.

If you want a good open source groupware application then look at egroupware It's been one of the most worked on projects on sourceforge for many many months and it works fine for me - just need a standard apache/php/mysql setup

In South Africa we have limited broadband and a lot of the time bandwidth is capped - e.g 3gb per month for a standard dsl connection. You can get around it but it's extra expense.
