Program Associate for Information Systems
Summary
This is an entry level position. The Program Associate for Information Systems is responsible for supporting NCIV’s electronic communication functions and in-house technology operations. The Mission of NCIV is to promote excellence in citizen diplomacy and the Program Associate will be expected to help NCIV improve its technology appropriately to achieve its goal.
Minimum Work Requirements
Strong written and oral communication skills; excellent organizational and time management skills; ability to accomplish tasks with minimum supervision; word processing and electronic communication skills; familiarity with database management and data migration; patience, diplomacy, international interests, and ability to convey technical concepts clearly. Bachelor’s degree in Communications, Computer Science, Public Relations, English, International Relations, or other relevant field. Previous experience working in a nonprofit organization. A working knowledge of PHP, MySQL, Access, MS Windows Server 2007. MS Office 2007, MS Windows XP Professional, Dreamweaver/Fireworks, HTML, eTapestry, Constant Contact, Adobe InDesign, and open source office software.
We are looking for an individual with both international interests and communication technology skills. The ideal candidate will have collegiate training and overseas experience related to another culture or region so as to appreciate NCIV’s role in supporting the Department of State’s International Visitor Leadership Program and other international exchange programs undertaken by NCIV’s 92 member organizations in 45 states. She or he will also demonstrate competence in website management, social networking technology, and an understanding of database management and integration. The Program Associate will report to NCIV’s Director for ePrograms and Administration and will interact with NCIV’s external technology consultants who maintain operation of its computer hardware and software. The principal tasks are
- Coordinate improvements to the NCIV website to incorporate cutting-edge capabilities in communicating to NCIV’s members and a wider public audience;
- Coordinate efforts to streamline and integrate NCIV’s databases into a coherent information management system; and
- Coordinate efforts to incorporate social networking and other Web 2.0 technologies into NCIV’s outreach to International Visitors and to new audiences.
Major Duties and Responsibilities
I. NCIV Website
B. Oversee plans to improve and upgrade the NCIV website and coordinate any subsequent editing and changes
C. Coordinate expanded use of social networking technology to increase NCIV’s visibility and impact through its website
D. Recommend new uses and provide NCIV with services through the website
E. Confer with IT contractors about website technical services and site performance
F. Coordinate registration online and electronic evaluation services for National Meetings and Regional Meetings
II. Network Administration
A. Answer application-related questions and help staff increase their efficiency with the use of technology
B. Manage office shared file system, oversee backup operations and oversee periodic archiving of files
C. Schedule routine maintenance of all office computers and related equipment
III. Database Administration
A. Coordinate contact information changes in NCIV databases
B. Set data entry standards and clean current data
C. Assist in consolidating multiple databases into a single coherent system
D. Assist NCIV members in updating contact and resource information in the Online Resource Directory
IV. Publications and Communications
A. Facilitate production of the annual NCIV Membership Directory
B. Edit and distribute the electronic NCIV Weekly Update
C. Assist with production, distribution, and promotion of new NCIV publications
V. Special Project Assignments
A. Provide innovative ideas and solutions for new initiatives from NCIV’s President
Working Relationships
The Program Associate for Information Systems interacts with all staff members and interns regarding international communication and technology needs; communicates as needed with member organization representatives and responds promptly to member inquiries about technology and communication.
