Best Printer for a Small Office

We need to move from a desktop printer to a larger printer that can produce a larger volume of copies. Any suggestions on taking the next step?

The first step is probably a realistic analysis of your needs and budget.

On the needs side:

  • Do you need a color printer, or is black-and-white enough?

  • Are you just looking for a printer that will allow you to make more copies per month, or do you want one that will add more functionality than your current printer (e.g. double sided, additional paper sizes)?

  • How many pages a month do you realistically need to print (on average)? If you expect the office to continue to expand, make sure you figure in growth in the number of monthly copies.



On the budget end, make sure you know how much you can spend on the purchase of the machine, a maintenance contract (if needed), and the ongoing cost of supplies (toner, etc.)

Another couple of things to consider: Are you looking for a networked printer, or sharing it from a computer? Are you looking for multi-function, i.e. fax, copier, printer?

A laser multifunction machine that is networkable. Make sure that everyone can scan to their PC, and Fax from their PC.

For large volume printing, use the copy machine that can print. The DRY INK use by copy machine is dirt cheap and it should pay for itself in 200,000 prints($30 in ink).

First and foremost, when you do your searching, do NOT consider an inkjet machine. The initial cost will be very attractive, but the cost per copy will be outrageous.

And remember, this advice is coming from me, an inventor with U.S. and European patents in ink jet technology!

I would second Tim's advice on avoiding inkjet printers. They also tend not to be as durable as lasers.

Just a note, Quynh's dry ink and the ink jets referred to by Tim are different technologies.
